Publicly payable invoices allow people to easily make a payment on an invoice without logging into the portal, in one simple step. Public payment links are a great option when representatives need to pay an invoice on behalf of their organization or a staff member, but don’t want or need a portal login.
Enable Public Invoice Payments
- Access the Finance & Billing application and navigate to the Setup tab
- Select Other Settings and scroll to the bottom to find the Public Invoice Payments section
- Click the checkbox to enable the setting and you will be prompted with further selections
- Select which portal site you would like to use for the public payment link
Helpful hint: We recommend selecting your main portal site
- Determine what payment options you want to accept - credit cards, electronic checks, or both
INSTALL THE PUBLIC INVOICE PAYMENTS PORTAL FEATURE
- Access the Portals & Microsites application
- Identify the portal site selected in the top-right corner of the page and ensure you have the appropriate portal
- Navigate to the Features tab and click the Install a Portal Feature button
- Select the appropriate template and target menu
- Scroll down to the Finance & Billing section and select the Public Invoice Payments feature
- Scroll to the bottom of the page and click the Next button
- After you have reviewed the selection, click the Install Features button
Helpful hint: As with any portal page, you can edit the text and imagery on the Pay Invoice Publicly page.
MAKE CHANGES TO THE PUBLIC PAYMENT LINK ON THE INVOICE
If you have publicly payable invoices enabled, the public payment link will automatically be added to the bottom of all of your invoice templates.
If you would like to change the position or formatting of the link, you can do so by following these steps:
- Access the Finance & Billing application and navigate to the Setup tab
- Navigate to the Templates dropdown and select Invoices
- Click the Edit icon on the desired template
- In the Invoice Template section, make any adjustments to the content in the desired area on the invoice
- In the Merge Field area, select Other from the first dropdown menu and then select Payment Link in the second dropdown menu. In doing so, the merge field has been copied to your clipboard.
- Highlight the text you wish to hyperlink and a micro-menu will appear. Click the Link icon and paste the merge field. Save it by clicking the Link icon.
Helpful hint: You can preview your changes before saving! Click the Preview button in the top-right of the Invoice Template section. Enter the ID of an existing invoice and voila! You can see the new template in action.
- When you are satisfied with your changes, scroll to the bottom of the page and click the Save Changes button.
Helpful hint: If you decide to add the public link on your own, Rhythm will automatically remove the default link that was once at the bottom of the invoice.
ADD THE PUBLIC PAYMENT LINK TO THE INVOICE EMAIL
Unlike the invoice, the notification email does not automatically include the public payment link.
If you would like to add the public payment link to the invoice notification email, you can do so by following these steps:
- Access the Finance & Billing application and navigate to the Setup tab
- Navigate to the Templates dropdown and select Invoices
- Click the Edit icon on the desired template
- In the Email section, make any adjustments to the content in the desired area on the email
- In the Merge Field area, select Other from the first dropdown menu and then select Payment Link in the second dropdown menu. In doing so, the merge field has been copied to your clipboard.
- Highlight the text you wish to hyperlink and a micro-menu will appear. Click the Link icon and paste the merge field. Save it by clicking the Link icon.
Helpful hint: You can preview your changes before saving! Click the Preview button in the top-right of the Email section. Enter the ID of an existing invoice and the email address you wish to receive the preview of the email template.
