Overview
When using Rhythm Payments powered by Payrix, recurring batches and batch assignment rules should be configured carefully. That way, your Rhythm batches are easier to reconcile against Payrix disbursements and your Financial Management System.
A common reconciliation issue occurs when a Rhythm batch is named for one type of activity, such as Daily Credit Card Payments, but the batch assignment rules allow other payment types into that same batch.
For example, checks, manual payments, ACH/eCheck payments, or refunds may be included if the rules are too broad or if all activity is routed into one default recurring batch.
When this happens, the Rhythm batch may not match the Payrix disbursement because Payrix disbursements only represent Payrix processor activity. They do not include manual checks, certain internal adjustments, or other non-Payrix transactions.
Recommended Batch Setup
For cleaner reconciliation, we recommend creating separate recurring batches and assignment rules by payment method and transaction type.
Recommended recurring batches may include:
- Payrix Credit Card Payments
- Payrix Credit Card Refunds
- Payrix ACH/eCheck Payments
- Payrix ACH/eCheck Refunds
- Check Payments
- Manual Payments or Adjustments, if applicable
Each recurring batch should have a clear assignment rule so transactions are routed intentionally. The batch name should match the type of activity the rule allows into the batch.
Why Batch Assignment Rules Matter
The name of a Rhythm batch does not determine which transactions enter the batch. Transactions are routed based on the configured default recurring batch and batch assignment rules.
For example, a batch named Daily Credit Card Payments may still contain checks, manual payments, ACH/eCheck activity, or refunds if the batch assignment rules allow those transaction types or if the batch is being used as the default for all transactions.
Before comparing a Rhythm batch to a Payrix disbursement, confirm that the batch only contains the type of activity you expect.
Reconciliation Guidance
When comparing Rhythm batches to Payrix disbursements, confirm that the Rhythm batch and the Payrix disbursement cover the same type of activity and the same timing window.
For cleaner reconciliation, compare:

A Rhythm batch that contains checks, manual payments, ACH/eCheck activity, refunds, and credit card payments should not be expected to match cleanly to a single Payrix disbursement.
Rhythm Payments/Payrix Cutoff Timing
Rhythm Payments/Payrix cutoff windows are typically around 9:30 PM Eastern Time.
Under normal circumstances, a credit card refund processed before the cutoff should appear in the next applicable Payrix disbursement. If a credit card refund is processed after the cutoff, it may appear in a later disbursement.
If you notice a variance, review the sales, payments, and refunds in the Rhythm Payments/Payrix disbursement file and compare them against the posted or downloaded Rhythm batch totals that were pushed to or manually imported into your Financial Management System.
ACH/eCheck Timing
ACH/eCheck transactions may have delayed settlement or disbursement timing compared to credit card transactions.
This is especially important for ACH/eCheck refunds. An ACH/eCheck refund may be recorded in Rhythm in one batch, but the related refund may not appear in the Payrix disbursement until a later disbursement batch.
This does not automatically mean the refund is missing or incorrectly recorded. It may be an expected timing variance.
For this reason, ACH/eCheck payments and ACH/eCheck refunds should be separated from credit card transactions whenever possible.
If You Notice a Variance
If your Rhythm batch does not match your Payrix disbursement, review the following before submitting a support ticket:
- Does the Rhythm batch contain only Payrix processor activity?
- Does the Rhythm batch include checks, manual payments, or adjustments?
- Does the Rhythm batch include ACH/eCheck activity?
- Does the Rhythm batch include refunds?
- Was the transaction processed before or after the typical 9:30 PM Eastern Time cutoff?
- Are the Rhythm batch date range and Payrix disbursement activity window aligned?
- Are you comparing the Payrix disbursement file against the same Rhythm batch totals that were posted, pushed, or manually downloaded into your Financial Management System?
When submitting a support ticket, please include:
- Rhythm Batch ID or batch name
- Payrix disbursement date or disbursement ID, if available
- Rhythm Order ID, if applicable
- Rhythm Transaction/Reference ID, if available
- Payrix TXN ID, if available
- The amount expected
- The amount shown
