Registrant directories allow you to enable portal users to search for registrants associated with an event. Rhythm supports the creation of multiple registrant directories per event.
Registrant Directory Portal Feature Installation
This will create the necessary page for the Registrant Directory to be used in the portal
- Navigate to the Portals and Microsites app
- Select Features in the left navigation
- Make sure the portal on the top right is set to the microsite associated with your event. If it is not, click Change and select the event’s microsite
- Click the Install a Portal Features button
- Select a portal template and target menu associated with the feature. The template should be the one designed for the event’s microsite
- Select Registrant Directory under the Meetings & Shows section
- Click the Next button, then Install Features to complete
Registrant Directory Configuration
Registrant Directory is configured in the Meeting and Shows Application
- Navigate to the Meetings and Shows Application
- Search for your event
- Click Setup in the left menu navigation
- Expand Registrants in the left navigation and click Directories
- Click Create Registrant Directory button
- You can make your selections and click Save Changes
Basic Information
- Enter in a Name (required). The ID will populate automatically, but you have the option to modify it upon creation. Once an ID is saved, it cannot be modified when editing a directory.
- Select whether only event registrants can access the directory
Directory Display Options
Choose how the directory should be displayed
- Search- visitors will be presented with fields they can use to search for entries
- List- visitors see a list of directory entries
Directory Options
To improve performance, we keep a copy of your directory stored in memory. The longer the refresh period, the better the directory will perform in your portal; the shorter the period, the more up to date. You can always force a refresh by re-saving this directory.
You can set:
- How often the directory should be rebuilt (minimum of 5 minutes)
- The number of results per page
- Whether the directory should be public
Searchable Fields
These fields are presented to users who are searching the directory. In addition to specifying the fields that users use to search the directory, you can also use the arrows to reorder them. The "group name" field is optional; if you provide a group name, the searchable field and all subsequent searchable fields will be grouped together visually. You can also override the label associated with any field.
Click Add Searchable field to add to the default directory fields
Additional Fields
When we rebuild this directory, we automatically add all searchable fields in the query. If there are additional fields you want to be available for display in the search results, enter them here. Both the searchable fields and the additional fields listed will be available for inclusion in your custom search results template.
Directory Messaging
Allow users viewing this directory to send messages to registrants while viewing their directory entry
Note: To enable directory messaging, you must adjust Directory Entry settings to either Show Default Info or Use Custom Template
Radius/Distance Search
Allow users to search for records within a particular distance
You can set which postal code field the system should use and enter in the radius options in miles
Rule-Based Directory Constraints
You can apply additional filters to determine who should appear in this directory. You can set filters based on attributes associated with:
- Contact
- Event
- Membership
- Orders
- Organization
- Product
- Registration
Expression-Based Directory Constraints
This is advanced functionality that allows you to use powerful expressions to define what should appear in the directory.
Note: Members who have opted out of the directory will automatically be excluded, regardless of the filtering expression you specify in this section.

You can override the way results in the directory are sorted
