Fundraising and Gifts in Rhythm gives associations a simple, streamlined way to collect gifts or donations. Let’s configure the Fundraising app to get you started.
(note: the list below is in order of configuration)
Set up Donor Clubs
- Navigate to the Fundraising & Gifts app
- Click Setup
- Click Donor Clubs
- Click Create Donor Club
- Enter the Donor Club name
- Save Changes
Setting Up Fund Categories
- Click Fund Categories
- Select Create Fund Category
- Enter the desired name
- Save Changes
Configuring Funds
- Click Funds
- Click Create Fund
- Associate the Business Unit
- Select a Fund Category
- Enter the desired fund name
- Optionally you can
- Set the fund as restricted
- Set the fund to have an annual contribution limit, and indicate the limit in USD
- Hide this fund from the portal
Set up Donor Products
Donor Products are the items that someone is purchasing. This will appear on the line item for their payment.
- Click Products
- Click Create Fundraising Product
- Select the associated Fund
- Enter the Name of the product
- Select the appropriate G/L accounts
- Configure a confirmation email, to generate coupon codes, associate documents, set a cancellation fee, bundle with any existing product in the system
- Save Changes
Helpful hint: Should your products have more complex accounting settings, such as specific merchant account routing, deferred revenue recognition, taxes, etc., these settings can be set using the Financial Configuration option on the Manage Fundraising Products screen by clicking the dollar sign.
Configure Donor Premiums
Premiums are gifts donors can receive for contributing a specific amount of money, or to a particular fund
Helpful hint: Note that you must configure this product first in the Orders and Inventory app under Merchandise before setting it up here. Please see this Knowledge Base Article for specifics on setting up a merchandise product.
- Click Premium
- Choose Create Premium
- Select the merchandise item to be received
- Enter the Name of the Premium (e.g., 64K Gold Club Donor Hoodie)

Set an image for the product
- Should this not be set, the product will appear with the system default merchandise imaging
- Add a description of the item for donors to see

Set the Fair Market Value in USD and the quantities to give
- This setting helps the system to determine the tax deductible amount of the gift.
- Save Changes
Setup Giving Processes
Create the rules around what your donors will see when they want to give to your association
- Click Giving Process
- Click Create Giving Process
- Name the process
- Set the Default Fund

Set the Campaign
- Indicate if the campaign process should be available in the portal for donors
- Choose to allow donors to make anonymous gifts

Set the Suggested Gifts Amounts donors can choose from in the portal
- Indicate a suggested amount in USD

Set the fields of information donors must include when making a donation
- To include: name, phone number, address, etc.
- Note: Rhythm allows for users to give a donation without logging into the portal. To track this information in Rhythm, we automatically create a contact for them. We use the email address field to check if there is already an account in the system and if not we will create an account. We strongly recommend you enable the Email Address field so this process is efficient.

Determine whether donors can make tribute gifts in honor or memory of someone else
- Indicate whether a notification should be sent to the honoree. If an option other than disabled is configured, the donor will be prompted to enter information for where to send the notification

Configure Targeted Giving
- Set if donors should be able to designate where they’d like their funds to go
- Indicate whether giving should be restricted to specific fund categories
- Indicate whether giving should be restricted to specific types of restricted or unrestricted
- Indicate whether giving should be restricted to specific funds

Set Pledges
- Set if pledges should create pro forma invoices

Set which installment plan is available to donors when making a pledge
Helpful hint: If you are going to enable a pledge, you will need to create an installment plan in the Finance and Billing application. Information on how to do this can be found in this knowledge base article.
- Set Recurring Gifts
- Permit donors to specific monthly recurring gifts
- Allow donors to make quarterly recurring gifts
- Allow donors to make annually recurring gifts
- Allow donors to specify an end date for their recurring gifts

Turn Premiums on
- Click Add Premium Assignment Rule
- Set the Giving Range Start and End
- Select the Premium a donor in that range should receive
- Set Donor Instructions for donors to read in the portal
- Turn on Gift Receipts to automatically send
- Turn on Pledge Receipts to automatically send
- Should this giving process have specific financial checkout needs, use Override Checkout Settings
Configure Default Settings
Set the default processes and fund for giving, set how donors should be assigned to donor clubs, set soft credit relationships, set donation products, and financial configuration
- In the Fundraisings and Gifts setup, click Settings
- Set the Default Giving Process
- Set the Default Fund
- Indicate the donor clubs to be assigned, or leave disabled

Indicate whether or not Soft Credits should be gifted to donors based on their relationships
- When enabled, you can indicate the relationship type, flow of credits, and percentage to credit.
- Note: Relationship Types can be configured in the CRM application under Setup Customers Relationship Types.

Set whether a gift should be automatically generated when a donation is made
- Note: In Rhythm, we call these simple donations. They are made when someone goes through a membership application process, for example, and they select to give a donation in addition to their membership purchase.

For each product, you can optionally select the
- Fund
- Campaign
- Set which giving process should be used for the donations
- Configure the general finance settings for all donations made
- These can be overridden on the Giving Process
- Determine Credit Card settings
- Indicate if users should be able to securely save credit cards, pay with electronic check, and/or see a different invoice template when giving.
- Save Changes
Run Maintenance
At any point should your default settings need to change on how donation products are linked to gifts, the maintenance tasks would need to be run, for this change to take effect to pre-existing orders.
Portal Configuration
To ensure the Fundraising and Gifts portal workflow is visible, the Feature needs to be installed through the console.
- Navigate to the Portals & Microsites App
- Be sure you’re in the Member Portal site
- Select Features
- Click Install a Portal Feature
- Select the Template and Target Menu
- Select Fundraising & Gifts
- Click Next
- Click Install Portal Features
- Select Menus to view the menu items added from installing the feature
- The Menu item will be called “Fundraising” by default
- My Giving History and Make a Donation pages will be added under that item by default
- The rest of the pages can be accessed via links in those two pages
- Select Pages to view the pages installed
- Here, each page can be edited to include custom text, images, links, etc
- The pages installed with this feature are the following
- My Giving History
- View Gift
- View Pledge
- View Recurring Gift
- Give Gift
The donor website is a public page that generates once the feature is installed and will be your member portal url ending in /fundraising/give
Portal
Note: Based on your portal configuration, the menu names may differ
- While logged into the portal, navigate to the Fundraising menu option
- Select Make a Donation
- Here is where donors come to make their donations
- Select My Giving History
- Here users are able to see all donations made by the individual
- By clicking the magnifying glass, a donor can see specific details of a gift, as well as resend the associated receipt
- Should the donor have organizational permissions, the organization’s giving history would also be visible here
